  • Pause before replying. Give yourself 24–72 hours if emotions are high, clarity beats speed.  Script: “Thanks for sharing your concerns. I’ll review the session notes and reply by [date/time].”
  • Acknowledge without agreeing. Script: “I’m sorry this didn’t meet your expectations. Here’s what was included and delivered…”
  • Re-state the agreement. Bullet what was booked, paid, and provided. Keep it factual, not defensive.
  • Offer one clear next step (if appropriate). A brief “clarity call” or single review session (only if the client seems open and respectful).
  • Protect scope and energy. Decline comparisons to other providers and avoid endless back-and-forth. Script: “Different consultants package services differently. My focus is ensuring you can use your palette confidently.”
  • Close the loop. Summarize any action you’ll take (or not take), the time frame, and what’s outside scope.
  • Document everything. File the thread and update your policies to prevent repeat issues.
